Position: Executive Assistant

The MS Centers of Florida Foundation, a small, yet dynamic not-for-profit organization located in Vero Beach, Florida which delivers comprehensive services to MS patients, their families and health care providers is immediately seeking an executive assistant to work 35 hours per week providing executive support and office administration. Reporting to the organization’s Executive Director, the Executive Assistant (1) coordinates headquarters office administration; (2) provides administrative support to the organization’s Executive Director and; (3) supports the organization’s Office of the Board of Directors. Responsibilities

    Provide overall executive administrative support to a small, yet dynamic organization. Specific duties include:

  • Handle phone calls, correspondence, and routine inquiries on behalf of the Foundation’s Executive Director (70%) and Board of Directors (30%);
  • Provide administrative support to the Executive Director and the Office of the Board of Directors (as directed by the Executive Director), including preparations for conference calls, meetings, and follow-up activities;
  • Prepare materials and coordinate logistics for out of town Network meetings and appointments;
  • Handle document processing tasks: preparation of letters, reports, and meeting materials;
  • Develop and maintain organization-wide filing system (both electronic and paper);
  • Coordinate quarterly Board meetings and maintain Board minutes;
  • Coordinate retreats and educational conferences and schedule business travel as needed.

Additional responsibilities include:

  • Coordinate the publication and distribution of Foundation materials, including website, statewide newsletter, brochures etc.;
  • Maintain mailing list databases;
  • Manage bills, track expenses, and support the preparation of a quarterly budget report.

Qualifications

  • Strong computer skills including proficiency in Word, Outlook, Excel, PowerPoint and a willingness to learn QuickBooks
  • Excellent verbal, written and interpersonal skills
  • Willingness to engage in minimal travel
  • Attention to detail and an ability to coordinate multiple projects
  • 3 to 5 years experience
